2.  Department Encampment Written Reports
The Department Encampment will be held 9 Jun 2012, at Veterans Memorial in Columbus.  All Department of Ohio Listed Officers and all Camp Commanders will submit written reports for the Department of Ohio Encampment.

a. Reports of Activities of the offices of Commander, Senior Vice Commander. Junior Vice Commander, Secretary/Treasurer, Council Secretary, Chief of Staff, Patriotic Instructor, Chaplain, Graves Registration, Eagle Scout Coordinator, Civil War Monuments & Memorials, Historian, G.A.R Records, G.A.R. Highway Officers, Camp Chase Representative, Buffington Island Representative and Ohio Veterans Homes Representative shall be completed.
 
b. Camp Commanders:
 Camp Commanders Reports should include information such as Camp Events, Fundraisers, Membership Recruiting, Ceremonies, Dedications, Good of the Order,  Brothers Serving in the Military in harm’s way, and Parades.
 
c.  Directions
     

1. Officers and Committees submitting reports will limit the reports to two single spaced pages. 

      2) As to the mechanics of organizing your reports 

1. Please use "word" format.
2. Please do not use large or ornate banner headings.
3. Please use 12 point Times New Roman font.
4. Please do not use color wording.
5. Charts and graphs are fine as long as they fit on an 8.5 X 11 inch sheet.

   
         3) Submit all reports electronically to Department Junior Vice Commander Jonathan Davis; jdavissuvcw@aol.com.  This may be done as a regular email or as an attachment to an email. 

d.  Deadline to submit reports    Saturday, May 19, 2012 
   NO verbal reports will be accepted.  Verbal additions to the written reports will be accepted

e.  Copies of Department Encampment Reports

• In order to reduce the ever-increasing costs of printed documents at the Ohio Department Encampment, one (1) copy of the Department Encampment Officer/Committee reports will be printed hardcopy and issued to each Camp in attendance. 
• These same reports will be available for Officers and Brothers to download and print from the Ohio Department Website or copy from the one issued their Camp in keeping with Ohio Department By-laws regarding the printing/publishing of said reports.
